Who we are

We are the data controller for the personal data described in this policy.

What we collect

Account details: your name, email address and password (stored only as a secure hash).

Business details you provide: business name, trade, contact details, logo, branding preferences, VAT settings and default quote terms.

Quote data you create: customer names and contact details, job addresses, scopes of work, prices, and quote status events (sent, viewed, accepted, declined).

Payment information: subscription payments are processed by Stripe. We never see or store your full card details.

Technical data: basic usage and diagnostic information needed to keep the service secure and reliable.

How we use your data

To provide the service: creating, storing, sending and tracking your quotes.

To power AI-assisted quote drafting and price suggestions based on your own historical pricing.

To process your subscription and manage your plan.

To send service emails such as account confirmation, password resets and quote notifications.

We do not sell your data and we do not use your customer data for advertising.

Lawful bases

Contract: processing needed to provide the service you signed up for.

Legitimate interests: keeping the service secure, preventing fraud and improving the product.

Legal obligation: records we must keep for tax and accounting purposes.

Your customers' data

When you add customer details to QuoteBench, you are the data controller for that information and we act as your data processor. You should make sure you have a lawful basis to store and use your customers' details.

Sharing and processors

We use a small number of subprocessors to run the service, including cloud hosting and database infrastructure, Stripe for payments, and AI processing for quote drafting. Data is only shared as needed to provide the service.

Retention and your rights

We keep your data while your account is active. You can request deletion of your account and associated data at any time by emailing paytradequote@gmail.com.

Under UK GDPR you have the right to access, correct, export and erase your personal data, and to complain to the Information Commissioner's Office (ICO).

Changes

We may update this policy from time to time. The current version will always be on this page.
